The Role: Executive Assistant (This is not a personal assistant role, the CEO already has a personal assistant) This role requires a high level of strategy, business management, and coordination skills. This role will work directly with CEO Zahnia Harut to help keep her organized, manage her schedule and help out with personal and administrative tasks to keep up our fast growth.

Location: The position is not a virtual and ideal candidate will be in Minnesota and be available from 8.30am to 5pm, Monday-Friday

Pay: This is a salaried role and due to the importance of this role pay is negotiable

Hours: Ideally full-time position, 32-40 hours per week.

What Kind Of Qualifications Do You Need?
You have experience successfully being an assistant, operations manager, project manager or in a clerical office/admin capacity with a proven track record of high-level efficiency.
You have a strong understanding of online technologies, including but not limited to: Google Suite (Docs, Sheets, Presentations, etc.), Google Mail, Google Calendar, Project Management Platform (ideally ClickUp or Asana), Zoom and Apple product etc.
You have excellent communication skills and are able to confidently interact with outside people/parties as it relates to the CEO’s daily communications, scheduling and requirements.
You’re familiar with and can anticipate the multi-faceted needs that a busy Female CEO has, and are excited to support where needed between home, family, and office/admin support.
You have a drivers license and means of transport
Last but certainly not least, you have a proven track record of driving success and results in your career.

Some Of The Specific Role Functions
Project Management
Support the CEO in overseeing and coordinating the completion of projects relating to any of our core areas of business including:

Assisted Living Business Projects

Real Estate Development/renovation projects

Accounting
-
Advocacy Work Boards, which includes prepping for meetings with senators & house representatives.
You don't need exact experience in these areas of Business to be considered but you will need strong project management skills and the ability to keep multiple projects organized, and moving toward completion.
CEO Personal Support
Provide a second set of eyes, brain, and hands to support the CEO with personal life management (appointments, lunches for her and her family, scheduling work for home projects, researching and booking travel, etc.)
Assist with personal requests from the CEO that fall outside of day-to-day business such as:

Manage house duties, including but not limited to, stocking groceries & house supplies, monitoring house appliances, and cleaning schedules, scheduling and being present for house appointments, paying contractors etc.

Assist with picking up/dropping off school-aged daughter and assists with schoolwork & extracurricular activities.
Administrative Support
Manage CEO inbox and email communications
Manage CEO calendar and schedule on a daily basis, actively seeking to take things off of CEO’s plate and mitigate overbooking, scheduling, and over-committing
Follow up and filter messages from other platforms as necessary (social media, live team meetings, team communications in Slack, etc.)
Create reports on business specifics, gathering data and doing research as needed.
Send gifts, notes, letters and other packages to internal and external people
Support the CEO on various marketing activities.
Handle outreach and external communications for things such as PR, interviews, and more
Maintain unparalleled confidentiality, discretion, and judgment due the nature of our work.
